Introduction
Stakeholders can only be deleted from Ledgy if they have no transactions, documents, reports, beneficiaries, or signatures associated with them. Before deletion is possible, you must remove or transfer all associated data. This guide explains how to check whether a stakeholder can be deleted, what steps to take to remove their associated documents and signatures, and how to troubleshoot common issues when the delete option remains disabled.
Check if the stakeholder can be deleted
You can quickly check if a stakeholder has anything related to them on the Stakeholders page, in the column "Usage", by hovering over the icons.
You can also click the three-dot icon next to the stakeholder and check the Remove option. If the Remove option greyed out this means the stakeholder is still has transactions and documents associated with them and therefore, they cannot be deleted.
The stakeholder can't be removed, but you can revoke access, remove the email address and move the stakeholder to a separate group, e.g. Ex-investors. To remove them completely, you must transfer or delete any of their existing transactions and delete associated documents, see section "Steps to remove the associated documents".
Steps to remove the associated documents
Documents
Go to Documents > Data room and find any documents that have the stakeholder in the "Sharing" column
Hover over the document, click on the 3 dots, and select "Share"
Remove the stakeholder and click Save
Signatures
Go to Documents > Signatures and find any documents that have the stakeholder in the "Signers" column
Hover over the document, click on the 3 dots and select "Delete"
KPIs
Go to Communication > KPIs
For basic KPIs, click on Settings > Sharing; for Custom KPIs, click on the Edit button > Sharing.
If the stakeholder appears under Sharing, then remove it. If the group they belong to appears there, then go back to the Stakeholders page > Edit > Change the group they belong to (e.g. to Ex-investors)
Updates
Go to Communication > Updates
Click on the Edit Settings button and look under the field "Sharing". If their name appears there, then remove it. If the group they belong to appears there, then go back to the Stakeholders page > Edit > Change the group they belong to (e.g. Ex-investors)
After removing all associated transactions and documents
Go back to the Stakeholders page and check that you can now click on the Remove option.

Troubleshooting
The "Remove" button is disabled
Is the stakeholder removed from the transactions, and are the transactions published?
Are there any outstanding signatures? If so, you have to delete them.
Is the stakeholder still invited? Revoke their access first.
