Introduction
Ledgy lets you export data from grids (tables) across the platform so you can analyse, share, or archive your equity data outside of Ledgy. Export options are named consistently across all pages, so once you learn them here, you'll recognise them everywhere.

How to export data from a grid
Step 1: Navigate to the grid you want to export
Go to any page that contains a grid, such as Equity Plans > Grants, Ownership > Cap Table, Reporting > Operations, or any other reporting page.
Step 2: Locate the Export button
The export button is found in the top-right corner of the grid. Depending on the page, you'll see either:
An Export dropdown button — typically found in Grants or Cap Table pages, click it to see all available export formats and options
A Download dropdown button — typically found in reports under the Reporting tab, click it to see all available export formats and options
Step 3: Choose your export option
Click the Export button to open the dropdown menu. The options you see depend on which page you're on. See the sections below for a breakdown of each option.
Export options explained
The following export options are used consistently across Ledgy. Not every option is available on every page — see the "Which options appear where" section below for details.
All rows (groups collapsed)
Format: .xlsx (Excel) or .csv.gz (CSV, on Reporting pages)
What it exports: All rows, but only the top-level summary/aggregated rows for each group
Grouping: Groups remain collapsed — individual detail rows beneath each group are not included
Best for: High-level overviews where you only need grouped totals (e.g. totals per equity plan or per stakeholder)
Current page (grouped as seen)
Format: .xlsx (Excel)
What it exports: The data exactly as it appears on the current page — same columns, grouping, sort order, and pagination
Grouping: Matches what you see on screen
Best for: Quick snapshots of your current view, including any column or grouping customisations you've applied
All rows (groups expanded)
Format: .xlsx (Excel) or .csv.gz (CSV, on Reporting pages)
What it exports: All rows with every group fully expanded, so every individual row is shown
Grouping: All groups expanded — no rows hidden
Best for: Complete, flat datasets for filtering, sorting, and pivoting in Excel or importing into external tools
Format: .pdf
What it exports: The grid data as it currently appears on screen, formatted as a printable document
Includes: Company name, address, corporate number (if available), exporter name, and export date
Best for: Formal, share-ready reports for board meetings, audits, or stakeholder distribution

IFRS Expensing (Financial Reports)

Note: "Current page (grouped as seen)" is not available on IFRS Expensing reports — these exports are processed on the server. For very large reports, you may receive the file via email.
Transactions (Ownership > Transactions)
Button label: Export Available options:
Excel — Full transaction data respecting all applied filters
PDF — Printable transactions list respecting all applied filters
UK Compliance (HMRC reports)
Single download button (no dropdown). Downloads a pre-formatted Excel file based on HMRC templates.
What gets exported: columns and filters
Regardless of which export option you choose, the following rules apply:
Columns: Only the columns currently visible in your grid view are exported. If you've customised your view to hide or show specific columns, the export will reflect that
Filters: On Reporting pages, "All rows" options export all data matching your current filters across all pages. On Equity Plans grids, the export reflects the current page view
Custom views: If you've saved a custom grid view, switching to that view before exporting will ensure the export matches your custom layout
Tip: Before exporting, review your grid view to make sure the columns and filters are set up the way you want them. What you see is what you get!

FAQs
What does "groups collapsed" vs "groups expanded" mean?
Groups collapsed exports only the top-level summary rows (e.g. one row per equity plan with totals). Groups expanded exports every individual row (e.g. every grant within each plan). Choose collapsed for a high-level overview, expanded for full detail.
Why don't I see "Current page (grouped as seen)" on IFRS Expensing?
IFRS Expensing reports are processed on the server and don't support the current-page view export. Use the "All rows" options instead.
Can I export CSV from any page?
CSV exports are only available on Reporting pages and IFRS Expensing reports. They are not available on Equity Plans grids or Cap Table pages.
Why is my CSV file compressed (.csv.gz)?
Large datasets are compressed to keep file sizes manageable. Most modern spreadsheet apps can open .csv.gz files directly, or you can decompress them first.
Can I export a PDF from Reporting pages?
PDF export is only available on Equity Plans grids and the Transactions page. It's not available on Reporting pages.
