Introduction
Collaborators with anonymised reporting access can still work with the reporting data they have permission to view or manage. However, stakeholder identity details are hidden where anonymisation applies. This can include report grids, report previews, exports, downloads, and locked reports. The underlying figures, totals, percentages, and calculations remain available so the collaborator can still complete their reporting work.
This article explains how anonymised access works, how to configure it, and how it works together with access rights for Financial, Operational and Compliance reporting.
Before you start
Your company needs the Financial Reporting add-on.
The collaborator needs enabled access to the reporting access rights:
View / Manage Financial reporting
View / Manage Operational reporting
View / Manage Compliance reporting
Custom collaborator roles and granular access controls are available on the Enterprise plan. This is where roles can be configured, the default roles have automatic application of the reporting add ons.
How to set up anonymised access
Go to Company Settings > Collaborators.
Select Manage roles to create or edit a custom collaborator role. Note: you cannot edit default roles and the relevant access controls.
Navigate to the Anonymisation section when editing a custom collaborator role at the top of the page.
Under the Anonymisation section, you can see two sections one for anonymised stakeholders and one for anonymised fields:
Stakeholder anonymisation - Ability to view and select stakeholders for anonymisation or stakeholders to be visible.
Anonymised fields - Ability to see default PII anonymised and the ability to select optional and stakeholder / transaction custom fields for anonymisation
For Stakeholder anonymisation you can choose between All, None or Selected. Select stakeholders rather than All stakeholders when the collaborator should not have full stakeholder access. To configure which stakeholders you want anonymised for the custom role type you can choose to show or hide stakeholders.
Note: Showing stakeholders, anonymises all stakeholders but the ones you select and hiding stakeholders, anonymises the stakeholders you've selected.
For Anonymised fields, Anonymisation comes with standard PII and the additional fields are at the admin's discretion. Select between Optional, Custom stakeholder and Custom transaction fields to anonymise across the product
Assign the role to the collaborator.
Ledgy applies the anonymisation automatically. There is no anonymisation option to select when generating, opening, locking, or exporting a Financial Reporting report.

Give access to Reporting
In the role settings, open the Reporting section. You can configure access separately for:
Financial reporting: IFRS expensing, locked reports, and financial report exports.
Operational reporting: cap table, vesting, dividends, and other day-to-day operational reports.
Compliance reporting: EMI, CSOP, and other compliance reports.
Note: Stakeholder bank details is an individual access requirement and access can be provided separately to the above access controls with None or View access.
For Financial, Operational and Compliance reporting, choose one of the following access levels:
None: the collaborator cannot access this reporting area.
View: the collaborator can open, review, export, or download reports where available.
Manage: the collaborator can create, edit, or manage reports and report settings where available.
For the default role types this is how reporting access controls are applied.

Mark specific stakeholders as anonymous
You can also maintain a company-wide list of stakeholders whose identities should be hidden from view-only users. Note: this applies to all custom role types plus the default viewer role type.
Open Company Settings.
Open Edit equity management settings.
In Anonymous Stakeholders, select the stakeholders whose identities should be hidden.
Save your changes.

Example
You might give a finance collaborator View access to Financial reporting, while anonymising employee stakeholders. This lets them review IFRS expensing reports and exports without seeing employee names or personal details. Instead, those stakeholders appear as anonymous stakeholders in the relevant reporting views.

No. Anonymisation is determined by the collaborator's stakeholder-access scope and role based anonymisation and your company's Anonymous Stakeholders setting. It is then applied automatically when the collaborator opens or exports the report.

Yes, they can create a report and adjust the date settings but cannot change core report configuration. View access lets a collaborator open, download, and export existing reports.

No. Ledgy hides the stakeholder name, profile information, and standard PII, custom and optional field values can be anonymised at the requirement of the admin. Financial reporting data and grant-related details remain visible so the report can still be reviewed.

Yes. The same anonymisation applies when a restricted collaborator exports a report or opens a locked report.

Yes. Give the collaborator full stakeholder access. A collaborator with full access can see stakeholder identities in Financial Reporting, unless their role and your company's anonymisation settings require the identity to remain hidden.

Check that the company has the Financial Reporting / Option Expensing add-on and that the collaborator has either View or Manage Financial reporting access control enabled. Access to either operational or compliance reports does not grant access to Financial Reporting.
