How to edit stakeholder data?

You can easily edit information of one or multiple stakeholders at any time.

Introduction

In this guide, we cover various methods for editing stakeholder details in Ledgy. You can update information individually on the Stakeholders page, use bulk import editing for multiple stakeholders, or update details through your HR integration. Each method is designed to accommodate different needs, whether you’re making a few adjustments or handling large-scale updates. Follow the steps below to choose the best approach for your situation.


Editing individual stakeholders

  1. On the Stakeholders page, click the three-dot icon next to the name of the stakeholder you wish to update.

  2. Click Edit from the menu.

  3. On the pop-up, update the relevant fields and once complete, hit Save.


Editing one or more stakeholders using Bulk Edit

  1. On the Stakeholders page, click on the Bulk Edit function in the top-right corner

  2. Depending on whether you want to update details for a Natural person (individuals such as founders and employees) or a Legal entity (investors such as VCs), you can use the dropdown menu to download the relevant Excel template. Once selected, click the Download stakeholder file button to download the template for bulk editing.

  3. Open the bulk edit Excel file, which displays all stakeholder data currently stored in Ledgy. Each field of data in Ledgy corresponds to a column in the edit file. Update only the information you wish to change. Important editing instructions are provided in the first row of the file - please do not remove this row. These instructions are also listed below for your reference.

    • Edit stakeholders below

    • Clearing a cell removes the associated property

    • Do not change the Stakeholder ID column

    • You can delete rows you do not need, and the order of rows or columns is flexible

    • You can only type "investor" or "employee" to select a preferred dashboard

  4. Please ensure to keep the column Stakeholder ID unchanged, as this is necessary for Ledgy to identify and update the details of the relevant stakeholders.

  5. In each row of stakeholder data on the template, do not delete information that hasn't changed. Simply leave the existing data as is and update only the fields you need to modify.

  6. Custom field data can also be updated using the bulk edit template. Once you create a stakeholder custom field via Company Settings > Data Management, it will appear as a column in the bulk edit template. Please create the custom field in Data Management before downloading the bulk edit template. This ensures that the new column for the custom field is included in the template.

  7. Once you have added all updates on your bulk edit template, save the file and drag or upload it into the drop box. If there are no errors in the import file, the message below should appear:

  8. Click Edit now to finish.


Editing stakeholders using an HR integration

  1. Ensure that the data you want to update is mapped in Ledgy. Look for the link icon next to the stakeholder field in Ledgy to confirm it’s mapped with your HR field.

  2. Make the necessary updates to the relevant stakeholder profiles directly on your HR platform, such as BambooHR, HiBob, Personio, etc.

  3. Navigate to Company Settings > Data Management in Ledgy. Under the HR System Integration section, click the Sync button to retrieve the latest data from your HR platform.

  4. On the pop-up that appears, click the Retrieve Now button to obtain the most recent data. This may take a few mins and then click the Sync button again under Company Settings > Data Management > HR System Integration to preview the changes.

    Ledgy will display a warning with a list of stakeholder profiles that will be updated during the sync. Review the changes carefully.

  5. Once you’re satisfied with the updates, click Sync now to complete the process and apply the changes in Ledgy.
