Introduction
When you cancel your Ledgy subscription, your workspace automatically moves to the free plan and your data remains accessible. However, if you want to permanently delete your data or make sure you keep a full copy for future reference, there are a few important steps to take first. This guide explains what happens to your data after cancellation, how to export your records, and how to include your documents in that export process.
What happens to the data in your company account once you cancel your Ledgy subscription?
Once you cancel your subscription with Ledgy, your workspace automatically moves to the free plan. Here are the key things to know about what happens next:
Data Retention on the Free Plan
Your workspace and data remain accessible on the free plan.
If your account remains inactive (that is, no one logs in) for a continuous period of two years, Ledgy automatically deletes the workspace data due to inactivity.
Actions to Safeguard Your Data
If you want to preserve your records before requesting permanent deletion, we recommend exporting both your structured data and your documents.
Recommended export checklist before deletion
Before you export: Most Ledgy tables use an Export or Download button in the top-right corner. Grid exports reflect your current visible columns and filters, so set up the view you want before downloading. You also need the relevant role access for the area you are exporting from.
Export transactions from Ownership > Transactions
Use the Export button to download your filtered transactions as Excel or PDF.
If you want spreadsheets that are closest to Ledgy's transaction import or edit format, click Bulk edit and download the transaction file for each transaction type you want to keep.
Export your cap table from Ownership > Cap Table
Use the Export button to download the cap table in the format you need.
Export your Equity Plans data
Go to Equity Plans > Grants or Equity Plans > Pools & Plans.
Export each grid from the top-right Export button.
Export any reporting data you rely on
If you use reporting pages such as Reporting > Operational, Compliance, or Financial, open the relevant report and use the Download button.
This is especially helpful if you want to keep copies of audit, compliance, or accounting reports outside Ledgy.
Download your documents from Documents > Data Room
Open Documents > Data Room.
Open a folder if needed, then select the documents you want using the checkboxes.
Click Download in the action bar.
If you download 1-2 documents, they download individually. If you download 3 or more documents, Ledgy bundles them into a documents.zip file.
Folders themselves are not downloadable directly, so if you need everything from a folder, open it and download the files inside.
Tip: If your document library is large, use Data Room filters and repeat the download in batches by folder, stakeholder, or date range.

Can a Cancelled Account Be Restored?
If you leave your workspace on the free plan, you can later restore full access by upgrading to a paid subscription.
Permanently deleted accounts cannot be restored, and the associated data will no longer be recoverable. This is why exporting your data and documents first is so important.
