How do I invite delegates to access a stakeholder's dashboard?

Allow multiple people from the same organisation to view stakeholder information through delegate access.

Introduction

You can invite multiple people to access the same stakeholder dashboard using Ledgy's Delegates feature. This is particularly useful for investment firms and organisations where several representatives need to view the same portfolio information. Instead of sharing login credentials or creating duplicate accounts, delegates provide secure, controlled access with individual login credentials and clear visibility of who is viewing stakeholder information.

What are delegates?

Delegates are individuals who can access and view a stakeholder's dashboard on behalf of that stakeholder. When someone accepts a delegate invitation, they can log into Ledgy and view the stakeholder's information in "Delegate Mode," which clearly indicates they are acting on behalf of the stakeholder rather than as the stakeholder themselves.

How to invite delegates

Step 1: Navigate to Delegates

  1. In your company account, go to Stakeholders

  2. Click on "Delegates"

  3. Click the "Invite Delegate" button

Step 2: Add delegate information

  1. You can choose to add a delegate that isn't added as a stakeholder in the company account. To do this, enter the delegate's name in the "Delegate name" field

  2. Then, add the delegate's email address in the Email field

  3. From the "Stakeholder this delegate represents" dropdown, select the stakeholder you want the delegate to have access to

  4. Click "Save and Invite"

Step 3: Check invitation status

Once you click "Save and Invite," you will see the delegate listed with their email address and their Pending status, showing they have been invited to their delegate access.

Alternative method: Add existing stakeholders as delegates

If the person you want to invite as a delegate is already a stakeholder in your system, you can use this alternative approach:

  1. Toggle "Add for existing stakeholders"

  2. Select the existing stakeholder from the list

  3. Click "Save and Invite"

This method allows you to choose from people who already have accounts in your Ledgy system.

Adding multiple delegates

Individually:

You can invite multiple delegates one by one:

  1. After inviting your first delegate, you can click the "Invite Delegate" button again

  2. Add another delegate's name and email address

  3. Click "Save and Invite"

  4. Repeat this process for as many delegates as needed

Each delegate will receive their own invitation and can access the dashboard independently.

In bulk:

  1. Alternatively, you can add multiple delegates in bulk by clicking the Import button.

  2. On the Import modal, click the 'Download template' button

  3. Open the Excel template and fill out the necessary delegate information and Save.

  4. Re-upload the template on the Import modal.

What happens after sending the delegate invitation?

When you invite a delegate:

  • The delegate receives an email invitation stating they've been given delegate access to a stakeholder at the company

    • They will need to register an account with Ledgy if they don't already have an account

  • Once the delegate is registered and have accepted their delegate invite, the delegate can click on the 'Portfolio Overview' dropdown on the top-left to view any dashboards they've been assigned to under 'Represented holdings'.

  • When they select any of the holdings they represent, the dashboard will show "Delegate Mode" to indicate they are viewing information on behalf of the stakeholder

What will delegates have access to?

Delegates will have view-only access to all the stakeholder's portfolio information, EXCEPT:

  • Bank details of the stakeholder

  • Any open signatures the stakeholder owns

  • The shared cap table (if shared with the stakeholder the delegate has access to)

Common use cases for delegates

Investment firms: Multiple representatives from the same investment firm can access portfolio information for companies they have invested in.

Holding companies: Different team members can view and manage subsidiary company information.

Advisory roles: Multiple advisors or consultants can access client information when needed.

Managing delegate access

Once delegates are invited and active, as an admin you can:

  • View all current delegates in the delegates section

  • Remove delegate access if needed

  • Add additional delegates at any time

The delegates feature provides flexible access control while maintaining clear visibility of who has access to stakeholder information.
