How do stakeholder invitation emails work?

Learn which email your stakeholders will receive when you invite them and how you can customise this email according to your requirements.

Introduction

Portfolio access allows your stakeholders (employees, investors, advisors) to view their equity holdings, vesting schedules, documents, and company updates in their personal Ledgy dashboard. Before stakeholders can see this information, you need to invite them to portfolio access.

This article explains how to invite stakeholders, customise invitation emails, revoke access, and troubleshoot common invitation issues.

Who can invite stakeholders: Account admins and owners can invite stakeholders to portfolio access. Only owners can revoke access.


Before inviting stakeholders

Preview the stakeholder dashboard

Before sending invitations, you can preview what each stakeholder will see in their dashboard. This helps you verify that the information is correct and complete.

Ensure email addresses are correct

Make sure each stakeholder has a valid email address in their profile. Invitations are sent to the email address in their stakeholder record, so verify these are accurate before inviting.

How to customise invitation emails

You can customise the email template that stakeholders receive when you invite them to portfolio access.

Step 1: Navigate to company settings

Go to Company Settings > General.

Step 2: Access email templates

In the Email Templates section, click the Review button next to Stakeholder Invitation.

Step 3: Edit the template

You'll see a default email template. You can customise:

  • Subject line - The email subject stakeholders will see

  • Message body - The email content and any personalised text

Step 4: Test the email

Click Send test to send a test email to your own email address (shown in brackets). Review how the email looks and make adjustments as needed.

Step 5: Save changes

Click Save to apply your customised email template.

All future invitations will use your customised template until you change it again.


Where are email notifications sent?

Email notification delivery:

Ledgy sends email notifications to different addresses depending on whether the stakeholder has accepted their invitation:

  • Before accepting: Notifications go to the email in their stakeholder profile (the one you entered in Ledgy)

  • After accepting: Notifications go to the email they used when creating their Ledgy account

Important: Stakeholders can choose any email address when creating their Ledgy account, it doesn't have to match the email in their stakeholder profile. If they use a different email, all future notifications will go to that new address instead.

Exception: If your company uses Single Sign-On (SSO), stakeholders must use their SSO email and cannot choose a different one.
