How do I invite stakeholders to access the portfolio, and how can I revoke it?

For your stakeholders to have access to their portfolio (i.e. Employee or Investor Dashboard), you must invite them to Portfolio Access.

Inviting Stakeholders

Before you invite stakeholders to Ledgy, you can preview what their dashboard will look like. Check out how to do that here!

Inviting a stakeholder to Portfolio Access

  1. Go to the Stakeholders page

  2. Place the cursor on the row of a stakeholder you want to invite

  3. Click the Invite button under the "Portfolio access" column

    Note: Make sure that the "Portfolio access" column is selected as visible within the stakeholders' columns. For more information, visit the Stakeholders columns.

  4. Verify or add stakeholders' email

  5. Confirm by clicking the green Invite button

Note: When a stakeholder accepts the invitation to their portfolio, a green icon will appear in the "Portfolio access" column on the Stakeholders page.

When the stakeholder has been invited but has not yet accepted, a clock icon will appear in the "Portfolio access" column on the Stakeholders page.

Inviting stakeholders in bulk

You can invite multiple stakeholders in one batch. Check the boxes of the stakeholders which you want to invite, and then click on the invite button on the bottom-right corner.


Re-inviting a stakeholder to Portfolio Access

If the invited stakeholder cannot find their invitation email, or if you'd like to remind them of their invitation to Ledgy, you may:

  1. Go to the Stakeholders page

  2. Place the cursor on the row of a stakeholder you want to re-invite

  3. Click on the Three dot menu that appears next to the stakeholders' name

  4. Select Re-invite as a stakeholder

  5. Click Save

Note: Only an Owner collaborator can revoke a stakeholder's access

  1. Go to the Stakeholders page

  2. Place the cursor on the row of a stakeholder whose access level should be revoked

  3. Click on the Three dot menu that appears next to the stakeholders' name

  4. Select the Revoke access

  5. Press the Confirm button to save the changes


Customizing the Portfolio Access Invitation Email

Ledgy allows you to adjust the invitation email sent to your stakeholders when you first invite them to have Portfolio Acess:

  1. Go to Company Settings > General

  2. Within the Email Templates section, click on the Review button next to the Stakeholder Invitation

  3. There will be a default email template, but you can edit the Subject and Message that will be sent to your stakeholders

  4. Confirm by clicking Save

Note: You can test the format of this email by clicking on Send test. The email will arrive at the email address indicated in the brackets.Please feel free ton repeat this process and adjust the message until you are satisfied with the result.


FAQs

The stakeholder can't see my company in their portfolio dashboard

  • Solution #1: Revoke access and invite them again

    Note: Only an Owner collaborator can revoke a stakeholder's access

    1. Go to the Stakeholders page

    2. Place the cursor on the row of the stakeholder that cannot see your company on their portfolio dashboard

    3. Click the Three Dot Menu that appears on the right-hand side

    4. Press the Revoke access button > Confirm

    5. Make sure that the email provided is correct

    6. Press Invite

    7. The stakeholder will receive another invitation to their email address. They should follow the link in the email, and should then be able to see your company under "My Portfolio".

  • Solution #2: The stakeholder is invited as a collaborator and not to their portfolio.

    Stakeholders with collaborator access do not automatically have access to their portfolios. Follow the steps above under 'Inviting a stakeholder to Portfolio Access'


When does an invitation expire?

An email invitation to join your company expires after 30 days. When a stakeholder hasn't accepted the invitation by now, and you still want the stakeholder to join your account to see their stakes in your company, you must revoke access and invite the stakeholder again. Just follow the step above from "Solution #1".
